Terms of Use

The short version

  • Use the service for legitimate HVAC business operations.
  • Pay your bill on time.
  • 3-month minimum, then month-to-month with 30 days' cancellation notice.
  • We can suspend or end your access if you violate these terms or abuse the service.
  • Standard liability limits apply.

These Terms of Use govern your use of Trades Reception ("Service", "we", "us", "our"). By using the Service, you agree to these terms. If you don't agree, don't use the Service.

1. Eligibility

You must be at least 18 years old and authorized to bind your business to these terms.

2. The Service

Trades Reception is an AI phone receptionist service for HVAC businesses. We answer your incoming calls, qualify leads, book appointments to your calendar, send SMS confirmations to your customers, and transfer real emergencies to your cell.

3. Account responsibilities

You're responsible for:

  • Keeping your account credentials confidential
  • Notifying us promptly of any unauthorized access
  • Providing accurate information about your business
  • Ensuring forwarded calls and customer interactions comply with applicable law

4. Acceptable use

You agree not to:

  • Use the Service to harass, defraud, or harm any person
  • Reverse-engineer, copy, or resell the Service
  • Forward calls from numbers you don't own or have authority to operate
  • Use the Service in violation of telecommunications laws (e.g., TCPA, state robocall rules)

5. Payment and billing

  • Monthly plans are billed in advance.
  • Setup fee ($999) is one-time, due at signup.
  • Overage minutes are billed at the rate listed on your plan.
  • Failed payments may result in service suspension after 7 days of non-payment.

6. Commitment and cancellation

  • 3-month minimum from your start date.
  • After the minimum, the Service continues month-to-month.
  • You can cancel at any time after the minimum with 30 days' written notice.
  • Cancellation takes effect at the end of the current paid period.

8. Service availability

We aim for 99%+ uptime, but the Service depends on third-party voice and AI infrastructure. We don't guarantee uninterrupted service and aren't liable for outages caused by upstream providers (e.g., telecom carriers, AI APIs).

9. Your content and data

You retain ownership of:

  • Your business information
  • All call recordings, transcripts, and customer data captured through the Service
  • All customer relationships and lead data

We may use aggregated, de-identified data to improve the Service. See our Privacy Policy for specifics.

10. Limitation of liability

To the maximum extent permitted by law, our total liability for any claim arising from the Service is limited to the amount you paid us in the 12 months preceding the claim. We are not liable for indirect, consequential, or lost-profits damages.

11. Indemnification

You agree to indemnify Trades Reception against claims arising from your use of the Service in violation of these terms or applicable law.

12. Changes to these terms

We may update these terms. Material changes will be sent to active customers by email. Continued use of the Service after notice constitutes acceptance.

13. Governing law

These terms are governed by the laws of the State of Texas. Disputes will be resolved in the courts of Harris County, Texas.
